1. Abide by corporate mission– Beta Gamma Sigma has a corporate mission which Alumni Chapters are expected to abide by.
2. The chapters are also encouraged to set individual chapter goals to support the Society’s mission and objectives. These goals may address chapter programming, services to members, contact with members and potential members, etc. If the chapter has questions about possible goals, they are encouraged to contact the Central Office staff for guidance.
3. Represent BGS in a given geographic area – Beta Gamma Sigma works with the individual Alumni Chapters to map out the boundaries of the chapters. While collegiate chapters represent Beta Gamma Sigma to the audience on that campus, the Alumni Chapter is the representative to all members residing in that entire geographic area. With that responsibility also comes the obligation to represent Beta Gamma Sigma so as to enhance its image and reputation in the area.
4. Membership only to BGS members – Each Alumni Chapter may only offer and confer chapter membership to persons who have already been named to Beta Gamma Sigma through their business school chapter.
5. To properly promote the image of Beta Gamma Sigma, the Society has established graphic standards, which are to be utilized for all print and electronic media. Chapters are encouraged to utilize printed materials provided by the Central Office when available. When creating customized materials, chapters should obtain the logo, masthead or other templates from Tim Weatherby in the Central Office. For any items created by the chapter, approval must be received from Beta Gamma Sigma before distribution.
6. To assist the Society in monitoring the Alumni Chapter program, each chapter is required to file an annual chapter report with the Central Office within 90 days of the end of the chapter’s fiscal year. A standard Annual Report Form is provided to chapters and should be utilized for this purpose. These reports are also required of the chapters to meet the requirements as a subsidiary organization in maintaining the 501(c)(3) status with the IRS.
7. The Central Office should be copied on all chapter mailings. Doing so will allow the Society to monitor chapter activity on an on-going basis and more quickly update chapter information on the web site and in Society publications.
8. As the official archives of the Society, the Central Office must always have on file a current copy of each chapter’s governing documents. Any time the chapter makes changes to these documents, an update should be sent to the Central Office.
9. So that individuals wishing to make contact with their Alumni Chapter can readily do so, each chapter is to provide the name and contact information for this purpose. Unless the Central Office is told otherwise, the President of the Alumni Chapter will be the person listed as the chapter’s official contact on the Society’s website.
10. Abide by BGS policy on sponsorships – Chapters should not compete with BGS when soliciting sponsorships. When obtaining sponsorships for the chapter, chapters should keep in mind that such sponsorships should expand on the ideals of BGS.
When approaching potential sponsors, chapters may wish to consider:
- Employer of Steering Committee members
- Members of BGS in the area
- Other business leaders
Consider these issues when setting chapter sponsorship policies:
- Is there a minimum dollar amount to sponsor or co-sponsor an event
- Sponsorship for in-kind contributions, if it can be valued
- How does chapter intend to promote sponsors and their sponsorships
11. The Governing Documents of Beta Gamma Sigma are the official policies of the Society. Chapter governing documents must abide by these same policies. Where there is a conflict, the Governing Documents of Beta Gamma Sigma, Inc. shall take precedence.
12. The Central Office should be copied on all chapter correspondence, minutes, etc. This will allow Central Office staff to more efficiently serve the chapters by knowing of current and ongoing activities.
